This policy explains how Mission Beach Hideaway Holiday Village collects, uses, shares and protects personal information. It covers this website, our booking system, enquiries and your stay at the park. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

The short version

  • We collect what we need to answer your enquiry, take your booking and look after your stay.
  • Online bookings run through RMS Cloud, our booking system. RMS and its service providers process your booking and payment.
  • This website uses tools from Google and Meta. They measure visits and help us show our ads on Facebook and Instagram to people who have visited.
  • Some of these companies store information overseas, mostly in the United States.
  • We do not sell your personal information.
  • You can ask to see or correct what we hold about you. You can opt out of marketing at any time.

What we collect

When you contact us

Our contact form asks for your name, email address, a subject and your message. If you phone or email us, we keep the details you give us and our reply.

When you book

To take a booking we collect your name and contact details, your dates, the number of adults and children, and the cabin or site you choose. For a site we ask what you are bringing, such as a caravan, camper trailer, motorhome or tent, and its length. If you bring a pet, we record the details you give us when you apply. Card details for online bookings go into the payment provider’s secure payment fields, as explained under “Online bookings through RMS Cloud”.

If you book through a travel site such as Booking.com or Expedia, that site collects your details under its own privacy policy. It passes us what we need for your stay.

When you arrive and stay

At check-in we may ask to see photo ID, and for a card to cover incidental charges. We keep a record of your stay, such as your cabin or site, any vehicle details you give us, and any requests or incidents.

Health and accessibility information

We only collect information about health or disability if you choose to tell us. For example, you might ask for help with access or tell us about an allergy. We use it only to help with your stay. Because this is sensitive information, we collect it only with your consent.

When you visit our website

Our website and the tools on it collect technical and usage information. This includes your IP address, your device and browser type, the pages you view and how you arrived, for example from a Google search or a Facebook post. It also includes actions such as searching dates, clicking Book Now, tapping our phone number or sending our form. See “Cookies and tracking tools” below.

When you deal with us on social media or review sites

If you message us, comment, tag us or review us on Facebook, Instagram, Google or another platform, we see what you send us and what is public. That platform’s own privacy policy also applies.

Staying anonymous

You can browse this website and ask general questions without telling us who you are. To book a cabin or site, we need your name and contact details.

Why we use your information

We use personal information to:

  • answer enquiries;
  • take, change and manage bookings, and take payments and refunds;
  • look after guests and run the park safely, including dealing with incidents;
  • send booking confirmations and messages about your stay;
  • ask for an honest review after your stay;
  • send news and offers, if you have agreed to receive them;
  • understand how people use our website, so we can improve it;
  • measure our advertising, and show our ads to people who have visited our website;
  • keep the records that tax and other laws require; and
  • deal with complaints and legal claims.

We do not use your information for unrelated purposes unless you agree, or the law allows or requires it.

Online bookings through RMS Cloud

Our online booking pages, at ibe12.rmscloud.com, run on RMS Cloud. RMS Cloud is provided by RMS (Aust) Pty Ltd, which processes your booking details on our behalf.

RMS and its service providers help run the booking pages, process card payments, prevent fraud and check that the pages work properly. They include a card payment provider, and tools that record how visitors use the booking pages, monitor how the pages perform and switch page features on or off.

When you pay online, you enter your card details into the payment provider’s secure payment fields. You can read RMS’s privacy terms on its website. RMS says guest data may be processed in Australia, the United States or the European Union.

Cookies and tracking tools

Cookies are small files a website stores in your browser. Pixels and tags are small pieces of code that send information about your visit to the company that provides them. This website uses the following.

Google Tag Manager. Loads our other measurement tools. Google receives technical information, such as your IP address, when it loads.

Google Analytics. Counts visits and shows us how people find and use the site, so we can improve it. It uses cookies named _ga and _ga_ followed by an ID, which last up to 2 years. We keep Google Analytics data for 14 months.

Meta Pixel (Facebook and Instagram). Tells Meta when someone visits our website and what they do here, such as viewing a cabin or the sites page, searching dates, clicking Book Now, contacting us or sending our form. We use it to measure our Facebook and Instagram ads, and to show our ads to people who have visited. If you have a Facebook or Instagram account, Meta may link this activity to it. Meta also uses the information under its own terms and privacy policy. The pixel uses cookies named _fbp and _fbc, which last about 90 days.

Google Maps. Our Contact page shows a Google map. Google receives technical information when the map loads, and may set its own cookies.

Our Facebook feed. Our homepage shows recent posts from our Facebook Page. The images load from Meta’s servers, so Meta receives technical information such as your IP address.

Google reviews widget. A widget from Trustindex Ltd, based in Hungary, shows selected Google reviews. It loads from Trustindex’s servers, collects technical information such as your IP address, and may set cookies. Reviewers’ profile pictures load from Google.

Site essentials. Our website, its security software and our web host record technical information such as IP addresses, to keep the site secure and working.

For visitors in the European Economic Area, the United Kingdom and a few other regions, this website does not set Google Analytics or Meta advertising cookies, and the Meta Pixel does not run.

How to control cookies and opt out

Opting out of interest-based ads does not stop ads. It means the ads you see are less tailored to you.

Who we share information with

We share personal information only as needed for the purposes in this policy. That can include:

  • RMS Cloud and its service providers, for bookings and payments;
  • payment providers and banks, to process payments and refunds;
  • Google and Meta, through the tools described above;
  • the travel site you booked through, to confirm or change your booking;
  • the businesses that host, maintain and market our website, including our web host and our marketing agency;
  • our email and IT providers;
  • professional advisers, such as our accountant, lawyers and insurers; and
  • police, emergency services or government agencies, when the law requires or allows it, or to lessen a serious threat to someone’s life, health or safety.

We do not sell your personal information.

Information that goes overseas

Some of the companies above store or process information outside Australia. The likely countries are:

  • United States: Google, Meta, and RMS’s service providers.
  • Australia, the United States or the European Union: RMS Cloud.
  • Hungary, and possibly other countries: Trustindex, for the reviews widget.
  • The Netherlands and the United States: Booking.com and Expedia, if you book through them.
  • Other countries where these companies keep data centres or support teams.

We choose providers that publish privacy and security commitments, and we use settings that limit what they collect.

Marketing and review requests

  • Booking confirmations and messages about your stay are not marketing. You will receive them while you have a booking with us.
  • We send news and offers by email or SMS only if you have agreed to receive them.
  • After your stay we may email you to ask for an honest review.
  • Every marketing email or SMS says who it is from and includes a simple way to unsubscribe, as the Spam Act 2003 requires. We act on unsubscribe requests within 5 working days. You can also ask at reception or email info@missionbeachhideaway.com.au.
  • To stop seeing our ads on Facebook and Instagram based on visits to our website, use the Meta settings above.

Reviews on our website

We show quotes from public Google reviews on our website, with the reviewer’s name as it appears on Google. If you would like your review removed from our website, contact us.

How we protect information

  • Our website uses an encrypted (HTTPS) connection.
  • Only the people who need booking and guest records can access them.
  • We use security software on our website.
  • Card details for online bookings are handled by the payment provider and are not stored on this website.

If a data breach is likely to cause serious harm, we will tell the people affected and, where the law requires, the Office of the Australian Information Commissioner.

How long we keep information

  • Booking and payment records: as long as tax and business record laws require, usually 5 years.
  • Contact form enquiries: as long as we need them to answer you and deal with any follow-up.
  • Google Analytics data: 14 months.
  • Meta Pixel data: Meta keeps it under its own policies.

When we no longer need information, we delete it or remove the details that identify you.

Seeing and correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it. Contact us using the details above. We will check who you are before we share anything. We will reply within 30 days. There is no charge to make a request. If we cannot give you access or make a correction, we will tell you why in writing and how to complain.

Children

Online bookings must be made by someone aged 18 or over. We collect information about children only from the adult who books, such as how many children are staying.

Complaints

If you think we have mishandled your personal information, please contact us first, in writing if you can. Tell us what happened and what you would like us to do. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days.

If we have not resolved it within 30 days, or you are not happy with our answer, you can complain to the Office of the Australian Information Commissioner (OAIC):

Changes to this policy

We review this policy at least once a year. We also update it whenever we add or remove a tracking tool, change how we use information, or the law changes. The date at the top shows when it last changed.
